Year over year, our Partners’ creative and inspirational interpretation of the Summit theme blows us away.

Engagement Center

Exhibits for the 2024 Workplace Summit will be held at Disney’s Coronado Springs Convention Center on October 8-10 from 8 a.m. – 3 p.m. Times are subject to change.

By having both an in-person and virtual booth, businesses can reach a wider audience, catering to both physical and remote attendees. The in-person booth offers the benefits of direct interactions and hands-on experiences, while the virtual booth extends the reach to a global audience, providing convenience and accessibility.

As part of the exhibit benefit, all Partners receive access to build a virtual booth and interact on the ePass Engagement Center; access information will be distributed in July. 

In-person booths of various sizes are included for Titanium, Platinum, Gold, Silver, Bronze, Copper, and select Government and Community Partners as part of their Partner Agreement. We encourage our Brass and Community Partners to connect with their Partner Success Manager if they are interested in purchasing an exhibitor space.

All partners are required to submit booth confirmation, or they will be considered non-participating. Out & Equal reserves the right to approve all exhibitor applicants.

Virtual Engagement Center

All Out & Equal Partners will have an opportunity to create a virtual Engagement Center Booth that will serve as another unique touchpoint for both in-person and virtual attendees to engage with your organization. The Cvent Exhibitor Portal will allow you to add the following to your virtual booth:

  • Company Logo: 300 x 300
  • Virtual Profile Banner: 1872×320 w aspect ratio of 936×160
  • Company Description: 5,000 characters
  • Company Tagline: 120 characters or less
  • Social URLs (Facebook, LinkedIn, and Instagram) 
  • Videos (One featured): 5 GB or less and MP4 or MOV
  • Up to 5 Downloadable resources (each file must be less than 20mb)
  • Webpage Links: 3-5 links

In Conjunction With (ICW) Events

As part of the 2024 Workplace Summit, Out & Equal Partners have the opportunity to host an ICW event. ​Space is subject to availability based on Workplace Summit programming and your ICW requirements. Partners are also responsible for any and all costs related to food and beverage, and AV services.

  • Reception Space: Out & Equal provides a complementary room within our contracted meeting space for a formal Reception. We encourage you to plan your event on October 8th. ​
  • Venue and Hotel Meeting/Office: O&E provides a complimentary room within our contracted meeting space allotment.​
  • Off-site space: The Partner secures a room outside our contracted meeting spaces and pays a room rental fee, as negotiated directly with the venue.

Print Specs:

PDFs must meet PDF/X-1a standards with 300 dpi images, CMYK colors, and embedded fonts. There is no bleed on these ads, except for Titanium Full page ads.

Digital Specs:

PDF or jpg files acceptable, 96 dpi images, RGB colors, and embedded fonts.

Please provide a 400-word essay and supporting images that reinforces the message planned for Plenary and that highlights your commitment to LGBTQ+ workplace inclusion.

The advertorial design will be built into this year’s Summit Program and we ask that you provide your content as a word document.
