2022 Executive Forum Health & Safety Information

Our first responsibility is to you, our attendees, speakers, partners and our team – we are 100% committed to your health and safety. As such, we’re putting rigorous plans in place for our safe return to an in-person event.
All attendees (including speakers and O&E staff) participating in 2022 Executive Forum are required to adhere to the below Health & Safety protocols and should review all of the following information before arriving on-site to the event. We also strongly recommend that you periodically check this page for the most up-to-date information as the pandemic evolves and information may change.
We’re working closely with our partners in San Francisco and the Palace Hotel, as we follow all federal, state, local and CDC guidelines. Furthermore, we’re drawing on the experience of our US and global industry partners, many of whom have successfully hosted live events in the past few months, for best practices.
This health and safety page is designed to create the best event experience possible, one where you can safely and effectively participate in 2022 Executive Forum. We hope the health and safety protocols, resources and FAQ outlined below assist you in planning your event experience and understanding Out & Equal’s expectations. COVID POLICIES AND MANDATES
Executive Forum Vaccination Policy
- All attendees (including speakers and Out & Equal staff) are required to be up-to-date on COVID-19 vaccinations. This means attendees should have received an initial vaccine dose regimen (a 2-dose series of an mRNA COVID-19 vaccine from Pfizer-BioNTech or Moderna), or a single-dose COVID-19 vaccine (Johnson & Johnson’s Janssen vaccine), and, if eligible, a booster.
- If you received your initial completed vaccination on or before September 14th, 2021, you will be required to have a booster shot administered on or before March 14th, 2022 to be considered fully vaccinated for the event.
- If you received your initial completed vaccination after September 14, 2021, you will not be required to have a booster shot to attend.
Proof of Vaccination
All attendees are required to provide proof of vaccination in order to attend Executive Forum. Please review our Proof of Vaccination page for instructions on how to submit this information.
If you are a guest only attending the Momentum Gala, you will be required to show your vaccine card and I.D. upon registration check-in on Thursday, March 31.

Executive Forum Mask Policy
All attendees will be required to wear a well-fitting mask indoors while participating in Executive Forum, unless:
- Actively eating or drinking; or
- Speaking on stage or in the front of a room.
If you require an exception to this policy as a result of a bona fide medical condition recognized by a medical professional, please email registration@outandequal.org by Wednesday, March 23rd.

On-site COVID-19 Testing
Out & Equal has contracted with Concierge MD to provide on-site antigen testing available for attendees to utilize during the course of the event. An individual test will cost $70; the cost is the responsibility of the attendee.

The tests will be administered via a nasal swab and results will take between 10-15 minutes to process.
You can register for a rapid test on-site at the nurse’s station. You will scan a QR code to access the registration platform, enter in your personal information, and be set to take your test within a few minutes. Once your test is completed, your results will be sent to the email address you entered.
IMPORTANT:
- Your test results will be shared with Out & Equal’s Director of HR, Virginia Bennis, for health and safety protocols.
- If you test positive for COVID, we ask that you follow the procedures outlined on the Executive Forum Health & Safety FAQ page in the FAQ section.
Travel to the US
If you are traveling internationally to attend the event, you will need to get a COVID-19 viral test (regardless of vaccination status or citizenship) no more than 1 day before you travel by air into the United States. You must show your negative result to the airlines before you board your flight.

Health & Safety FAQ
Is there a vaccination requirement for Executive Forum attendees?
Yes. All attendees (including speakers and Out & Equal staff) are required to be up-to-date on COVID-19 vaccinations.
Which vaccines will you accept to attend the event?
We will accept WHO-approved vaccines, plus vaccines authorized or approved by the national health authority of the country where it was administered. Mixed vaccines will also be accepted (e.g. one dose of Moderna and one dose of Pfizer).
By what date do I need to be vaccinated and/or boosted by to participate in Executive Forum?
Attendees are considered fully vaccinated two weeks (14 days) after they have completed either the second dose in a two-dose series (e.g. Pfizer, Moderna, AstraZeneca) or after a single dose of a one-dose vaccine (e.g. Johnson & Johnson). Mixed vaccines will also be accepted (e.g. one dose of Moderna and one dose of Pfizer). If you received your initial completed vaccination on or before September 14th, 2021, you will be required to have a booster shot administered on or before March 14th, 2022 to be considered fully vaccinated for the event. If you received your initial completed vaccination after September 14, 2021, you will not be required to have a booster shot to attend.
Can I attend Executive Forum with proof of a negative COVID-19 test or with proof of COVID-19 antibodies?
No, a negative COVID-19 test or proof of antibodies will not be accepted as a substitution for being up-to-date on vaccinations. Attendees should have received an initial vaccine dose regimen (a 2-dose series of an mRNA COVID-19 vaccine from Pfizer-BioNTech or Moderna), or a single-dose COVID-19 vaccine (Johnson & Johnson’s Janssen vaccine), and, if eligible, a booster at least two weeks prior to the event.
Will exceptions to your COVID-19 vaccine requirement be accepted?
No, we are unable to make any exceptions to the requirement to be fully vaccinated, and if eligible, must have received a booster No, we are unable to make any exceptions to the requirement to being up-to-date on vaccinations. Are the Palace Hotel staff vaccinated or tested?
All Palace Hotel employees who are interacting with guests are required to be fully vaccinated. All staff, regardless of vaccine status, are required to wear masks.
Am I required to take a COVID-19 test before arriving to the event and after I return?
No, you are not required; however, we strongly encourage all attendees to take a COVID-19 test before your arrival to the event and upon your return home.
Is Out & Equal offering onsite testing?
Yes. On-site testing will be available throughout the event (hours listed above). If you wish to test onsite, the cost is the responsibility of the attendee.
Are masks required at 2022 Executive Forum?

What happens if I have a known exposure risk before coming to Executive Forum?
If a registered attendee has a known COVID-19 exposure risk prior to attending Executive Forum, we request that they not attend the event.
Who should I notify if I’m not feeling well on-site at Executive Forum?
For in-person notification, please notify the registration/information desk located on the second floor near the Sunset Court of the Palace Hotel. For email notification, please notify Virginia Bennis via email at hr@outandequal.org.
What should I do if I test positive for COVID-19 during the event?
Please notify Virginia Bennis via email at hr@outandequal.org so we can anonymously communicate to our attendees and venue accordingly and request that you no longer attend the event and self-isolate.
What should I do if I use the on-site testing and receive a positive result for COVID-19 during the event?
We’d request that you take another rapid PCR test, to confirm the result. If it is a financial burden to pay for the additional test, please contact Virginia Bennis via email at hr@outandequal.org. If you receive a second positive result, we request that you no longer attend the event and self-isolate. An anonymous email will be sent to attendees notifying them an attendee tested positive.
What should I expect when visiting San Francisco?
Masking while indoors are required depending on the venue in San Francisco. It is highly recommended that you carry your vaccination document with you when you travel to San Francisco and when exploring the city. The Health Pass verification system by CLEAR will ONLY be used to gain access to Executive Forum.
