2009 Summit: Frequently Asked Questions

We have assembled a list of commonly asked questions about the Out & Equal Workplace Summit. If you have additional questions, please contact us at summit@outandequal.org and we will do our best to assist you.

What is the Summit dress code?

For most events at the Out & Equal Workplace Summit, casual office wear is perfectly appropriate. Many people take pride in wearing shirts with the name of their company and/or employee resource group through out much of the conference, and we invite you to show your team spirit. We also have Out & Equal shirts available at the Out & Equal store in the exhibition hall.

The Gala Awards Dinner is your opportunity to dress to impress. We ask for business formal (suit and tie) or formal attire for the event.

I have to keep in touch with my office/family during the Summit, will this be a problem?

We understand that almost everyone attending the Out & Equal Workplace Summit has a busy career and family obligations that won’t disappear while participating in the Summit. However, we ask that you please respect the presenters and other attendees by remembering to silence your cell phones and electronic devices while you are in workshops, plenaries, and other educational forums. If you have to take a call, please exit the room into the hallway.

Can I take photos at the Summit?

Out & Equal respects that some Summit participants value their privacy and do not wish to have their photographs taken. Participants with a dot on their name badges have asked not to be photographed during the Summit. Please respect their rights. Generally speaking, please ask for permission before you take someone’s picture.

Will my picture be taken at the Summit?

Out & Equal makes every effort to respect the privacy of participants who indicate that they do not want to be photographed. Unfortunately, in large crowds and during public events, it is not always easy to screen all participants. Please be aware that unless you clearly express your desire not to be photographed and avoid cameras when they appear, your image may appear in press coverage or Out & Equal promotional materials.

What do I do if I need to speak with an Out & Equal representative?

There are many volunteers at the Summit who can assist you with common questions and problems. If a Summit volunteer is unable to help you, you may identify Out & Equal staff by looking for “STAFF” ribbons attached to name badges.

What if I have an emergency?

Hotel and convention staff are prepared and trained to deal with most emergencies. Please speak to the nearest staff member of Coronado Springs or contact the front desk.

What are rules regarding badges?

Name badges must be worn at all times and must be visible. Your name badge serves as your entrance into all events. If your name badge is not visible, conference staff or room monitors may ask to see it before allowing you into conference events.

What is the seating policy for the plenary, featured sessions and concurrent sessions?

The plenary sessions will take place in the Ballroom and can accommodate all registrants. Attendees are asked to take a seat rather than stand at the back. Some tables near the stage are reserved for event sponsors, special guests, and Out & Equal staff or board members--otherwise all plenary events are open seating.

For the featured sessions and concurrent sessions, it is first come, first served. Once the session room is full with seated attendees, the session will be closed to additional attendees. No standing at the back is permitted.

What is the seating policy for the Gala Awards Dinner?

Seating will be assigned by tables. Preferred seating is offered to sponsors and award recipients. If you have questions about specific seating arrangements, please contact Director of Development Sherrie Holms at (415) 694-6508.

What meals will be provided at the events?

Breakfast is included with the plenary sessions that begin Wednesday and Thursday morning. Lunch is included in the Friday plenary session. The Gala Awards Dinner includes supper.

A buffet lunch will be served to Summit attendees who register for full-day Tuesday seminars.

Summit participants are expected to provide or purchase all other meals. Lunch options will be available for purchase in the exhibition hall. Also, participants may choose to register and pay for special networking lunches.
